The privacy of your data is a fundamental priority for us. This policy explains how we collect, use, and protect your personal information.

  1. What data do we collect and how?

We only collect the data necessary to provide you with our IT consulting services and Microsoft Cloud solutions.

  1. Data provided directly by you:
  • Through the contact/offer form: Name, Surname, Professional Email Address, Phone Number, Company Name, Position.
  • By contracting: Billing data (CUI, bank account, name of the legal representative).
  • As part of technical support: When you contact us for support, we may process identification data necessary for user authentication (e.g. Microsoft 365 user ID, but we do not store your passwords).
  1. Automatically Collected Data (Cookies and Similar Technologies):
  • IP address, browser type, operating system, pages visited on our website (via Google Analytics). This data is anonymized and used for statistics.
  1. Purpose and Legal Basis of the Processing

We process your data based on EU Regulation 2016/679 (GDPR), with the following purposes and grounds:

Purpose of Processing Legal basis (Art. 6 GDPR)
Provision of Services: Provision of consultancy, migration, technical support and maintenance services. Execution of the Contract (Art. 6.1.b) or pre-contractual steps (bidding).
Invoicing and Financial Reporting: Issuance of tax invoices according to the law. Legal obligation (art. 6.1.c) – Fiscal Code.
Communication and Marketing: Sending news, guides (e.g. M365 Guide) or offers, only if you have subscribed. Your consent (Art. 6.1.a). You can unsubscribe at any time.
IT Security & Site Improvement: Protecting your site from cyberattacks and optimizing your experience. Legitimate interest (Art. 6.1.f).
  1. Special Note on Microsoft 365 Services (WIZSP as a Processor)

In the case of Migration, Maintenance or Technical Support services, WIZSP often acts as  a Data Processor and the Customer is the Controller.

  • Data access: Our technicians may have temporary access to your company’s data (emails, SharePoint files) strictly to resolve technical incidents or to perform migration.
  • Confidentiality: All WIZSP employees have signed strict confidentiality agreements (NDAs). We do not access, copy, or store your operational data outside of your systems (Microsoft Tenant), except as necessary for migration, where the data is deleted immediately after the process is completed.
  1. Duration of data storage

We only keep the data for as long as necessary:

  • Contractual/fiscal data: 10 years (according to the tax legislation in Romania).
  • Marketing data (Newsletter): Until you withdraw your consent (Unsubscribe).
  • Security logs: Maximum 12 months.
  • Data from calls for tenders (no contract completed): 3 years (general limitation period) or deleted on request.
  1. To whom do we share your data?

We do not sell your data to any third party. The data can be accessed by:

  • IT service providers: Microsoft (as a Cloud infrastructure provider), Google (Analytics).
  • Accounting/banking service providers: For payment processing and invoicing.
  • State Authorities: Only if there is a legal obligation (e.g. ANAF).

International Transfer: Because we use Microsoft 365 and Google Analytics, certain data may be stored on servers in the EU or US. We ensure that these providers comply with GDPR (EU-US Data Privacy Framework or Standard Contractual Clauses) standards.

  1. Data Security

WIZSP implements advanced technical and organizational measures:

  • Data encryption (SSL/TLS) for website and communications.
  • Multi-Factor Authentication (MFA) for all of our employees’ internal accounts.
  • Data minimization (we collect only what is strictly necessary).
  • Use of secure Microsoft Azure/Cloud infrastructure.
  1. Your rights

According to the GDPR, you have the following rights:

  1. Right of access: Ask for confirmation as to whether we are processing your data and a copy thereof.
  2. Right to rectification: To correct inaccurate data.
  3. Right to erasure (“Right to be forgotten”): Request the deletion of data if it is no longer necessary or if you withdraw your consent.
  4. Right to restriction: To temporarily block processing.
  5. Right to portability: To receive data in a structured format.
  6. Right to object: To object to processing (e.g. for marketing).
  7. Right to lodge a complaint: To the National Supervisory Authority for Personal Data Processing (ANSPDCP – www.dataprotection.ro).
